How many calls do small businesses miss?

The most quoted figure is 62%, and it is real, with caveats worth knowing. In January 2016, the marketing firm 411 Locals published a study that tracked 85 small businesses across 58 industries for 30 days. Only 37.8% of inbound calls were answered by a person. Another 37.8% went to voicemail, and 24.3% got no response of any kind. The sample is small, the study is a decade old, and the publisher is a vendor rather than an independent research body. It remains the source everyone is actually citing, whether they say so or not.

The strongest recent figure comes from call tracking. Invoca, whose platform processes calls for home services brands, reports that 27% of calls to home services businesses are not answered. Both numbers can be true at once. What callers do when nobody answers

They leave, and they tell you so. CallRail surveyed 1,000 US consumers in 2025 and found that 78% have taken their business elsewhere after failing to reach a company by phone, and 82% say they will call a competitor if you do not answer. Hold music is no refuge: 41% hang up after just 1 to 2 minutes on hold.

Voicemail deserves special skepticism. In the same CallRail survey, 42% of consumers said they leave a voicemail when a business does not answer. Invoca's observed platform data tells a different story: fewer than 3% of home services callers who reach voicemail leave a message. People overestimate their own patience. A business that treats voicemail as a safety net is measuring what customers say, not what they do.

How fast you need to respond to a lead

Speed decides who gets the customer, and the research on this is older and stronger than most people realize. In 2011, Harvard Business Review published an audit of 2,241 US companies that measured how fast they responded to a web lead. Only 37% responded within an hour. The average response time among those who responded was 42 hours, and 23% never responded at all. Firms that tried to reach a lead within an hour were nearly 7 times as likely to qualify it as those that waited even one hour longer, and more than 60 times as likely as companies that waited 24 hours or more.

The famous "100 times" statistic comes from a different study that is routinely credited to the wrong source. The 2007 Lead Response Management study, conducted with MIT's Dr. James Oldroyd and InsideSales.com, found that the odds of contacting a lead called within 5 minutes versus 30 minutes drop 100 times, and the odds of qualifying that lead drop 21 times. If you see that number attributed to Harvard, the page did not check.

Missed call statistics by industry

Law firms

Law has the best data of any industry, because Clio tests it directly. For its 2024 Legal Trends Report, Clio hired a research firm to pose as a prospective client and phone 500 law firms. Only 40% answered, down from 56% in the 2019 edition of the same study. After counting firms that returned a message, 48% remained effectively unreachable by phone. Email was no better: 33% of firms replied, down from 40% in 2019. A firm that simply answers is already ahead of most of its market. Home services: plumbing, electrical, HVAC

Invoca's data puts unanswered calls at 27% for home services, with fewer than 3% of voicemail-bound callers leaving a message. The cause is structural rather than careless: the person who would answer is on a roof or under a sink. Medical practices

Healthcare figures are widely quoted and mostly secondary. Talkdesk's 2025 healthcare research, as compiled by AgentZap, puts the average practice's missed-call rate at 23%, higher for solo offices. A vendor-published study of roughly 7,000 calls across 22 practices in 18 states found 42% missed during business hours. We could not access either primary dataset, so treat both as directional. Med spas and appointment-based clinics

We found no credible, published miss rate specific to med spas, so this page does not invent one. The best evidence for appointment businesses concerns no-shows: in a randomized controlled trial published in the International Journal of Pediatrics, adding text message reminders cut the no-show rate from 38.1% to 23.5%. Real estate agents

The response-time research above applies most directly here, because a real estate inquiry is a web lead with a short shelf life. The National Association of Realtors reports that 88% of buyers and 91% of sellers used an agent in its 2025 profile, so nearly every transaction has an agent attached, and speed helps decide which one. Real estate wholesalers

Wholesaling is a pure speed contest, since a motivated seller typically hears from several buyers. ATTOM counted 227,548 US properties with foreclosure filings in the first half of 2026, up 21% from a year earlier, which means more motivated sellers and more competition to reach them first. No credible missed-call research exists for either industry, and any page quoting a precise figure for them should be read with suspicion. The cross-industry consumer data applies: a driver after a collision or a customer ordering flowers for tonight will call the next shop on the list. Are customers comfortable with AI answering the phone?

More than most owners expect. In CallRail's 2025 survey, 52% of consumers said companies using AI assistants after hours provide superior service, 50% would use AI to book an appointment (91% among Gen Z), and only 13% said they would not use AI for any task.

What customers reject is the phone tree. A 2019 Vonage survey of 2,010 consumers, as reported by Numa, found that 85% had abandoned a call after reaching an auto attendant. A conversational system that answers, understands the request, and books the appointment is a different experience from "press 3 for billing," and the data suggests customers know the difference.

Statistics we left out, and why

  • "85% of callers never call back." Probably the most repeated number in this industry. Every citation chain we followed ends at a vendor blog post or an unnamed "study." It may well be roughly true, but nobody has published the research behind it.
  • "A missed call costs $1,200" and "missed calls cost $126,000 a year." No study produces these figures. The real cost depends on your ticket size and close rate.
  • "67% of callers will call a competitor." We could not trace it. CallRail's sourced 82% figure exists, so there is no reason to use an unsourced one.
  • "Harvard found you are 100 times more likely to connect within 5 minutes." The 100x finding is from the 2007 MIT and InsideSales.com study. Harvard Business Review's own findings were the 42-hour average and the 7x advantage.

How to measure your own missed call rate

Your own number beats every industry average. Export the last 30 days of call records from your phone system. Count the calls that rang out or went to voicemail, including after hours, and divide by total inbound calls. Then multiply your missed calls by your own close rate and your own average job value.
