Velora Media is a trade name of Velora Media Group LLC ("Velora Media," "we," "us," or "our"). This policy explains what information we collect when you visit veloramedia.cloud or any of its subdomains, chat with our AI receptionist, fill out a form, book a call, buy from our shop, apply for an internship, or work with us as a client. It also explains what we do with that information and the choices you have.
If anything here is unclear, email hello@veloramedia.cloud and a person will answer.
The short version
- We collect what you give us (forms, chat, bookings, purchases) and basic browsing data from analytics tools.
- We use it to answer you, deliver what you buy, and see which parts of the site work.
- We do not sell your information for money. We do use the Meta Pixel and Google Analytics, which some state laws count as "sharing" for advertising. Section 8 explains how to opt out.
- You can ask us to see, correct, or delete your information at any time.
1. Information you give us
- Consultation and contact forms: your name, email, phone number, company, the service you are interested in, a budget range, and your message.
- Internship applications: your name, email, phone number, school, major, the track you are applying for, city and state, a link to your resume, and your cover letter.
- Guide downloads: your email address.
- AI receptionist chat: whatever you type into the chat.
- Booking a call: when you schedule through Calendly, the details you enter there and the time you choose.
- Purchases: your name, email, billing details, and what you bought. Card details go directly to Stripe, our payment processor. We never see or store your full card number.
- Client work: the account access, files, customer lists, and business information you share so we can build and run your systems.
- Conversations: the emails, calls, and texts you exchange with us.
2. Information collected automatically
- Google Analytics: the pages you view, how long you stay, the site that sent you, your approximate location (city level), your device and browser, and actions such as submitting a form. It uses cookies and similar technology.
- Meta Pixel: page views and actions such as submitting a lead form. This lets us measure our Facebook and Instagram ads and show ads to people who have visited our site. It uses cookies.
- Server logs: our website host records technical details such as your IP address, browser, and the pages requested, to keep the site running and secure.
- Chat abuse protection: to stop people from flooding the AI receptionist, our server keeps a short-lived, scrambled (hashed) copy of your IP address that counts messages over a ten-minute window. It does not save your conversation.
- Your browser's storage: your shop cart is saved in your browser so it is still there when you come back, and your chat with the AI receptionist is kept in your browser for the length of your visit. This stays on your device.
3. Business contact information from public sources
We research businesses we believe we can help, and we reach out to them. For this we collect business contact details that are publicly available, such as a business name, the owner's or manager's name, a business phone number and email address, the business address and website, and public reviews. Our sources include Google Maps listings, business websites, online directories, and public state business filings.
If we contacted you this way and you would rather we did not, reply to our message or email hello@veloramedia.cloud. We will stop contacting you.
4. How we use information
- To reply to inquiries, run consultations, and send the guide you asked for
- To deliver, support, and bill the systems you buy from us
- To review internship applications
- To run the AI receptionist (see section 5)
- To measure site traffic and ad performance and to improve the site
- To send occasional email about our services, which you can opt out of at any time
- To prevent fraud and abuse, keep the site secure, and meet our legal, tax, and accounting obligations
5. AI tools
- Our website receptionist sends your messages to Google's Gemini service to write each reply. Please do not share sensitive information in the chat, such as health details, account numbers, or passwords.
- In client work we use AI tools, for example Google Gemini, Anthropic Claude, and AI image and video tools, to draft content, build automations, and analyze performance. We share only what a task needs, and a person reviews the setup, scripts, and content before anything goes live.
6. Who we share information with
We do not sell personal information for money. We share it only with:
- Service providers that run parts of our business: website hosting (Hostinger), email, form delivery (FormSubmit), scheduling (Calendly), payments (Stripe), analytics and advertising (Google and Meta), AI services (Google and Anthropic), and the CRM and automation platforms we build client systems on, such as GoHighLevel. They may use the information only to provide their service, under their own terms and privacy policies.
- Platforms you ask us to work in, such as your own Google, Meta, or CRM accounts.
- Professional advisers, such as our lawyers and accountants, when needed.
- Authorities, when the law requires it, or when needed to protect the rights, safety, or property of our clients, the public, or Velora Media.
- A buyer or successor, if our business is sold or reorganized. This policy would continue to apply to your information.
7. Cookies and similar technology
| Type | What it does | Examples |
|---|---|---|
| Essential | Keeps your shop cart and runs checkout | Browser storage on our site; Stripe on its checkout pages |
| Analytics | Measures visits and how the site is used | Google Analytics cookies (names start with _ga) |
| Advertising | Measures our ads and lets us show ads to past visitors | Meta Pixel cookie (_fbp) |
You can block or delete cookies in your browser settings, install Google's Analytics opt-out browser add-on, and manage ad preferences in your Facebook and Instagram settings. The site keeps working without analytics and advertising cookies.
8. Your choices and rights
- See, correct, delete, or get a copy of your information: email hello@veloramedia.cloud with "Privacy request" in the subject line. We will confirm your identity and reply within the time the law requires.
- Stop marketing email: reply "unsubscribe" to any of our emails, or email us.
- Opt out of "sharing" for targeted advertising: email us with "Do not sell or share" in the subject line and we will stop using the information we hold about you for targeted ads. You can also use the browser and ad settings in section 7.
- State privacy laws: residents of California, Colorado, Connecticut, Virginia, and other states have specific rights to know, delete, and correct their information and to opt out of its sale, sharing, or use for targeted ads. We offer these same choices to everyone, wherever you live, and we will not treat you differently for using them. You may also use an authorized agent to make a request for you.
- UK and European Union: you can ask for access, correction, deletion, restriction, or a portable copy of your information, and you can object to how we use it. We rely on our contract with you, our legitimate interest in running and marketing our business, and, where the law requires it, your consent. You can also complain to your local data protection authority.
9. How long we keep information
We keep information only as long as we need it for the purposes in this policy, such as working with you, keeping business and tax records, and honoring requests not to be contacted. Analytics and advertising data is kept according to the settings in our Google Analytics and Meta accounts. When we no longer need information, we delete it or remove anything that identifies you.
10. Security
The whole site runs over an encrypted connection (HTTPS). Card payments are handled by Stripe, the keys that connect our site to outside services are kept on our server rather than in your browser, and access to client accounts is limited to the people working on them. No system is perfectly secure. If a security incident affects your information, we will notify you as the law requires.
11. Children
Our website and services are not directed to children under 16, and we do not knowingly collect information from them. If you believe a child has given us information, email us and we will delete it.
12. International visitors
We are based in the United States. If you visit from another country, your information will be processed in the United States and in the countries where our service providers operate.
13. Changes to this policy
When we change this policy we will update the date at the top. If a change is significant, we will also email our current clients before it applies to them.
